Event marketing that fills seats before the gates open

Event websites built in days, registration and seat reservations, and campaigns timed to the countdown for festivals, brand launches and experiences.

Why it matters

Events run on a deadline that no other marketing has. A developer can extend a launch campaign by a month, but a festival that opens on 15 August cannot move. An event marketing agency has to work backwards from that date, because every week lost to a slow website, an unclear line-up or a broken registration form is a week of footfall you do not get back.

In practice that means three things. The website goes live as soon as the dates and venues are confirmed. Registration or reservations work first time on a phone. And promotion runs in waves, from the announcement to line-up reveals, early registrations and the final push.

We built the website for Bhubaneswar Food Fest, a nine-day, city-wide festival running from 15 to 23 August 2026, in seven days, starting from nothing but the logo. It has a live countdown, the line-up and venues, and interest registration. The Kataka Food Fest site, for a three-day festival of pop-up dining across Cuttack, also took seven days and added seat reservations. Our events work is led by partner Vikram Singh Parmar, previously at GroupM, with our OOH and PR partners joining when an event needs reach beyond digital.

How we work

The process, step by step

An event website can go live in about a week, even from a logo. Promotion should start as soon as dates and venues are confirmed, with budget held back for the final week, when many people make up their minds.

  1. Event brief

    Day 1

Dates, venues, line-up status, capacity, the registration or ticketing model, and the single number that defines success.

  2. Website design and build

    Days 1 to 7

A look developed from your existing brand assets, then the site with countdown, line-up and registration. Both of our food festival sites took seven days.

  3. Announcement

    First phase of promotion

Dates, venue and the headline reason to come, with early interest registration to build a list you can reach later at low cost.

  4. Line-up reveals

    Middle phase

A steady run of artist, chef, vendor or speaker reveals, each one a fresh reason to post, advertise and retarget site visitors.

  5. Final push and live coverage

    Last week and event days

The heaviest spend, reminders to everyone who registered, directions and parking details, and live content that sells the remaining days.

  6. Report and retain

    After the event

Results against target by channel, what to change next time, and a thank-you message that keeps attendees for the next edition.

Honest fit

Who this works for

Good fit

  • Festivals, exhibitions, brand launches and experiences with a fixed date and an audience to fill.
  • You can confirm dates, venues and at least part of the line-up early.
  • Someone can approve creatives within hours during the final weeks.

Not a fit

  • ✕The event is days away and there is no site, line-up or creative yet.
  • ✕You want to measure success in followers rather than registrations or footfall.
  • ✕Dates, venues and prices keep changing close to launch with nobody owning the decisions.

Events are quoted per event. The website and registration flow are a fixed fee, and promotion is a campaign fee plus ad spend sized to the promotion window. We share a cost range once we know dates, capacity and scope.

An event marketing agency plan, working back from the date

The calendar below assumes a festival or public event with at least six weeks to go. Shorter windows compress the same steps, and nothing can be skipped.

Six weeks or more before

Lock the dates, venues, capacity and how people will register or pay. Brief the website, which needs about a week. Publish the announcement with an interest form, even if the line-up is incomplete, and start collecting the audience you will retarget later.

Four to two weeks before

Release the line-up in stages. Each reveal is a new post, a new ad and a new reason for someone who visited the site to come back. Brief partners, vendors and performers to share from their own accounts, and give them ready-made creatives so they actually do. Book any outdoor media now.

The final week

Spend the largest share of the budget here. Send reminders on WhatsApp to everyone who registered interest, with directions, parking and timings. Retarget site visitors who did not register. Keep answering questions on social media quickly, because they tend to arrive in this last stretch.

During the event

Post live. For a multi-day festival such as the nine-day Bhubaneswar Food Fest, each day's content sells the days that remain. Collect photos and short videos you can use next year, and share them through social media marketing while interest is at its peak.

After the event

Thank attendees, share the best moments, ask for feedback and report results against target. Keep the list, collected with consent, for the next edition.

What an event website needs

  • Date, venue and a countdown on the first screen
  • A line-up and schedule your team can update in minutes
  • Registration or reservation within a couple of taps
  • A venue map with directions and parking
  • FAQs on entry, pricing, children, pets and timings
  • A page for sponsors, vendors and partners to enquire
  • Pages that load quickly on patchy mobile data at the venue

Mistakes that cost registrations

  • Starting Meta Ads before the website and registration flow are live and tested
  • Spending most of the budget in announcement week
  • Registration forms nobody tested on a phone
  • No plan to keep attendee data for the next edition

Food festivals sit close to restaurants and hospitality, and our hospitality page covers how restaurants market themselves the rest of the year.

FAQ

Questions people ask us

How fast can you build an event website?

Both of our food festival sites were built in seven days, starting from the logo alone. That covered the visual look, a live countdown, the line-up, venues, and registration or seat reservations. A larger event with paid ticketing, several venues, sponsor pages and multiple languages needs more time, so tell us your date as early as you can.

When should we start promoting an event?

As soon as the date and venue are confirmed, even before the full line-up. An early announcement builds an interest list you can reach cheaply later. Line-up reveals then give you new reasons to post and advertise, and the final week gets the heaviest push. Starting a week out usually means spending more to reach the same people in less time.

Can you handle registrations and ticketing?

We build registration and seat reservation flows directly into the site, as we did for Kataka Food Fest, and can link to your chosen ticketing platform for paid entry. Whichever route you take, we test the full journey on phones before launch, because a form that breaks in the final week costs more than any ad can recover.

Who works on event marketing at Nezler?

Our events work is led by Vikram Singh Parmar, a partner who plans events and experiential campaigns end to end and previously worked at GroupM. The website and digital campaigns are handled by the same studio team that builds our real estate sites, and our OOH and PR partners join when an event needs outdoor media or press coverage.

How do you measure whether event marketing worked?

By registrations, reservations or tickets against the target, cost per registration by channel, and attendance where it can be counted at the gate. We also make sure you keep the audience data, collected with consent, so the next edition starts with a list of people who already came or showed interest.
