Lead nurturing automation that never lets a lead go cold
We connect your ads and website forms to WhatsApp, SMS, your CRM and your sales team, so every buyer gets an instant reply, every lead reaches the right person, and follow-up runs on schedule until someone responds.
Most businesses do not lose leads to competitors. They lose them to silence. A buyer fills in a form at 9 pm, the sales team sees it the next afternoon, and by then the buyer has already spoken to two other companies. Lead nurturing automation fixes the part of that story you control: how fast someone hears back, who follows up, and what happens when a lead goes quiet.
We build the workflows between your ads, your website, your CRM and your sales team. When a lead arrives, the buyer gets an instant reply on WhatsApp or SMS, the right salesperson is alerted, and the lead is logged in a Google Sheet or CRM. Reminders keep call-backs and appointments on track, drip sequences follow up over days or weeks, and cold leads are brought back with a relevant update. WhatsApp is usually the most important channel, because it is where most Indian buyers already reply.
Automatic follow-up sits behind some of our strongest work. For Kayakriti, a clinic in Lucknow, we built the website and automated lead nurturing; the clinic generates 500+ leads a month and its conversion rate has increased. My Home City paired video campaigns with automatic follow-up and booked half its plots in three months, and a Lucknow plotted development recorded 56 site visits from ₹19,732 of ad spend.
What's included in lead nurturing automation
Instant replies on WhatsApp and SMS
An automatic reply the moment a lead arrives, confirming the enquiry, naming who will call and sending the brochure, price sheet or menu the buyer asked for.
Lead routing to sales
Leads from Meta forms, Google Ads and website forms assigned to the right salesperson by project, location or source, with a WhatsApp alert as they arrive.
Reminders for your team and your buyers
Call-back reminders for salespeople, and reminders for buyers before a site visit, consultation or meeting, so fewer appointments are missed.
Drip sequences
Scheduled messages over days or weeks with useful content and one clear next step, stopping as soon as the buyer replies or books.
Re-engagement of cold leads
Leads who went quiet contacted again with a relevant update, such as a new offer, a price change or construction progress, if they opted in.
CRM and Google Sheet workflows
Every lead logged with its source, campaign, owner and status, with status changes triggering the next step without anyone copying data by hand.
Response time reporting
How long each lead waited for a first reply and a first call, which leads are untouched, and follow-up by salesperson, so managers can see where leads slip.
Tool selection and setup
The WhatsApp Business app or the WhatsApp Business Platform through an approved provider, an SMS service and a CRM or lead manager, chosen for your team size and budget.
- Lead flow map
- Instant reply and sales alert messages
- Routing rules and reminders
- Drip and re-engagement sequence copy
- Google Sheet or CRM workflow

The process, step by step
A basic workflow with an instant reply, a sales alert and lead logging can usually be live within a week. Drip and re-engagement sequences, CRM integration and message template approvals add time, depending on how many sources and teams are involved. If a launch or campaign date is close, ask about fast-track setup.

Build and connect
Days 4 to 8Forms, ad accounts, Sheets, CRM, WhatsApp and SMS connected, with message templates submitted for approval where required.
Test with real submissions
1 to 2 daysTest leads sent from every source to confirm replies, alerts, routing, reminders and logging all work end to end.
Train, report and refine
Weeks 2 to 4Your sales team trained on the workflow, response times reported, and message timing and copy adjusted based on how buyers reply.

Who this works for
Good fit
- You get leads from ads or your website, but follow-up is slow or inconsistent.
- You have old leads that never converted and no routine for contacting them again.
- You have a sales team, even a small one, that will act on alerts and update lead status.
Not a fit
- ✕You want to message bought or scraped contact lists. That breaks WhatsApp's rules and gets numbers blocked.
- ✕You receive a handful of leads a month and can call each one personally.
- ✕Nobody is responsible for following up once a lead has been alerted.
Cost depends on the number of lead sources, how complex the routing is, how many sequences we write and which tools you already use. WhatsApp and SMS messaging charges and software subscriptions, such as a CRM, are paid by you directly to the provider. You get a written scope before we build.
What to automate first in lead nurturing
Start with speed to lead, not broadcasts. The first automation worth building is the one that makes sure every new enquiry gets a reply and reaches a person quickly. In order:
- One record of every lead. All sources (Meta forms, Google Ads, website forms) flow into one Sheet or CRM.
- An instant reply to the buyer, on WhatsApp or SMS, confirming who will call and when.
- An alert to the right salesperson, with the buyer's name, source and what they asked about.
- The asset they wanted, such as a brochure or price sheet, sent straight away.
- Reminders for call-backs, and for buyers before a visit or consultation.
- A short follow-up sequence for buyers who do not respond to the first call.
- A daily summary of untouched leads and response times, so managers can step in.
Campaigns to existing customers and re-engagement of old leads come after this works.
A sample follow-up sequence for a property enquiry
This is an example, not a fixed template; timings change by product and buyer.
- Immediately: alert to the salesperson; instant reply and brochure to the buyer.
- Within the hour: call from the salesperson. If unanswered, a short message asking for a convenient time.
- Day 1: a walkthrough video or location highlights.
- Day 3: an invitation to a site visit, with available slots.
- The day before a booked visit: a reminder with the location pin and the name of the person meeting them.
- Day 7: a final check-in asking whether they would like updates or prefer not to be contacted.
- Months later: for buyers who opted in, one relevant update, such as a new phase or a price change.
The sequence stops as soon as the buyer replies or books.
Rules to follow on WhatsApp and SMS
- Get clear opt-in. Add a line to your forms saying buyers agree to receive updates on WhatsApp or SMS, and keep a record of it.
- Use approved WhatsApp templates for any message sent more than 24 hours after the buyer last wrote to you. Meta charges for these, with marketing messages priced higher than confirmations.
- Register business SMS properly. In India, commercial SMS must use a registered sender ID and templates under TRAI's DLT rules, which your SMS provider sets up.
- Watch your quality rating. If many people block or report your messages, Meta can limit how many you send.
- Make opting out easy, and keep frequency sensible. More messages rarely mean more sales.
Measure response time, not just lead count
A lead report that shows only volume hides the problem automation is meant to fix. Track how long leads wait for a first reply and a first call, how many are still untouched after a day, how many follow-ups each lead received, and how many cold leads replied to re-engagement. These numbers show whether the workflow is working and which part of the team needs help.
Mistakes that make automation backfire
- Automating a broken process. If nobody owns follow-up, faster alerts only move the delay.
- Too many tools. Leads split across five apps get lost. Choose one record of truth.
- Generic copy. Messages without the buyer's name or the project they asked about read like spam. Keep sequences short and stop them the moment someone replies.
- Never reviewing results. Check reply rates, response times and site visits monthly, and rewrite what is not working.

ExploreQuestions people ask us
What is lead nurturing automation?
It is the set of automatic steps that follow up a lead after the first enquiry. That means an instant reply, routing to the right salesperson, reminders, scheduled follow-up messages and re-engagement of leads who went quiet. The aim is simple. Every lead hears back quickly, nobody is forgotten, and your team spends its time on conversations instead of chasing spreadsheets.
Which channels do you use for automated follow-up?
WhatsApp first, because most buyers in India reply there, with SMS for instant confirmations and reminders where WhatsApp does not fit. Sales alerts reach your team on WhatsApp, and every lead is logged in a Google Sheet or a CRM that accepts leads by API or webhook. We choose the mix by where your buyers respond, not by a fixed package.
Is bulk WhatsApp messaging allowed?
Only to people who have agreed to receive messages from you, and business-initiated messages must use templates approved by Meta through the WhatsApp Business Platform. Sending to purchased lists or using unofficial bulk-sending tools risks your number being restricted or banned. Clear opt-in on your forms protects both your number and your reputation.
Do we need the WhatsApp Business API?
Not always. A small team can start with the WhatsApp Business app, a Google Sheet and a simple mobile lead manager. You need the WhatsApp Business Platform, often called the API, when you want fully automatic messages at volume, several agents on one number or integration with a CRM. It is accessed through an approved provider, and we recommend the simplest setup that does the job.
Can you bring back leads that went cold?
Yes, if they agreed to hear from you. We sort old leads by what they asked about and when, then send a short, relevant message, such as a new offer, a price update or construction progress, with an easy way to reply or opt out. Anyone who responds goes straight to a salesperson. People who never opted in are not messaged.
Do you also run WhatsApp marketing campaigns?
Yes. Updates, offers and launch announcements can go to customers who have opted in, from the same system that handles follow-up. Trisul Electrovision credits our WhatsApp campaigns, alongside SEO and social media, with raising its brand awareness. Campaigns work best once instant replies and routing are in place, so the enquiries they create are handled well.
